Most businesses that want a WhatsApp bot end up with three contracts: a WhatsApp provider, a bot builder with a flowchart editor, and an integrator to connect it to their bookings, payments and CRM. The flowchart breaks the first time a customer types something nobody drew a box for.

In Pocket a WhatsApp bot is an agent with a brief. It reads the whole conversation, understands photos and voice notes, sends your real brochures and videos, shows buttons and menus, books slots, takes payments, and writes to your CRM. You set it up from your phone in about five minutes.

What a bot can do in a conversation

  • Remember the conversation. Every message arrives with the thread so far, so the bot picks up where it left off, and remember keeps lasting facts about a customer between conversations.
  • Send your real files. Images, videos, PDFs and documents from your media library, organised by product, program or package. The bot searches the library and never makes a file up.
  • Offer choices. Reply buttons (up to three), list menus (up to ten rows), link buttons for checkout and payment, location pins and location requests.
  • Read what customers send. Photos of a broken AC, a PDF of a CV, a voice note or a shared location all reach the bot as attachments it can look at.
  • Act. Book and reschedule with capacity checks so nothing is double-booked, send Dodo Payments links and confirm payment, create and update leads in Salesforce, HubSpot, Zoho, LeadSquared, Pipedrive or Freshsales, and look up statuses in your own systems.
  • Hand over. When someone asks for a person, is upset, or asks for something outside the brief, the bot says so and alerts you.

The bots

Each of these is a template on the New bot screen. Pick one, adjust the brief in your own words, and switch on “Answer WhatsApp messages”.

Appointments and bookings

  • Appointment desk for clinics, salons, spas, consultants and tutors: book, reschedule and cancel, with deposits by payment link.
  • Clinic assistant: doctor-wise slots, home sample collection, test preparation instructions, lab reports only to the registered number, and emergency redirection.
  • Service booking for AC repair, plumbing, cleaning and installations: a photo of the problem, the customer's location, a visit window, then an invoice link and a rating.
  • Studio front desk for gyms and classes: timetables, trial classes, spot capacity, waitlists and memberships.
  • Showroom & service for dealerships: test drives, service bays, pickups, and estimate approval with buttons.

Tickets, stays and events

  • Ticket counter for shows, buses, tours and workshops: seats are held while a 15-minute payment link is open, confirmed with an e-ticket when paid, and released if not.
  • Stay concierge for hotels and homestays: nightly availability per room type, room videos, deposits, check-in details and in-stay requests.
  • Event registrations: free or paid, agenda and venue pin, and a waitlist.
  • Travel planner: package itineraries, custom-trip leads for an agent, and trip-day help.

Selling

  • Sales qualifier replies to ad and website leads in seconds, asks four questions at most, scores intent, updates your CRM and books a call for hot leads.
  • Shop assistant for online stores: product questions with photos and size charts, checkout links, order status, returns with photos, and COD confirmation.
  • Restaurant host: menu, table reservations, and pickup or delivery orders with a running cart and payment link.
  • Admissions counsellor: programs, fees, eligibility and scholarships answered only from your documents, counselling slots, and every question logged.
  • Policy & loan helper: brochures, renewals, document checklists and claim status, while advisors make every decision.

Service, status and money

  • Support desk answers from your FAQs, manuals and videos, opens a ticket when it can't solve the problem in two exchanges, and reports ticket status.
  • Order tracker answers “where is my order / application / repair?” from your API, Airtable, Google Sheet or database, and never guesses.
  • Payments & reminders for invoices, EMIs, rent and fees: amount, due date, invoice PDF, a pay-now button, promise-to-pay dates and receipts. It never threatens anyone.
  • Feedback & reviews: a one-tap rating, a review link for happy customers, and an immediate alert for unhappy ones.

Inside your business

  • Recruiter screens applicants against the job description, collects CVs, scores fit and books interviews.
  • Team ops bot for your own staff: today's bookings, stock, yesterday's sales, SOPs and training videos, and approvals routed to you.

The integrations

Everything a bot touches is a block in Tools & MCP: Pocket Bookings (resources, slots, capacity, references; no account needed), Dodo Payments links and refunds, the six CRMs, Google Calendar, Drive and Maps, Shopify, Airtable, Postgres and your warehouse, Notion, Linear, Gmail, and a plain HTTP fetch for any system with an API. Credentials stay on the server; the bot calls actions and never sees keys.

Media, organised the way you sell

Open Account → Media library and upload from your gallery or files: photos, videos, PDFs, Word and Excel documents. Put each item in a collection (a product, a course, a package) and write the key facts in the caption, like price, size or possession date. Files are checked against WhatsApp's limits (images up to 5 MB, video up to 16 MB, documents up to 100 MB) and uploaded to WhatsApp once and then reused, so sending the same brochure a thousand times costs nothing extra.

Set one up

  1. Connect your WhatsApp Business number in Channels.
  2. Upload your photos, videos and documents to the media library.
  3. Add the integrations the template lists in Tools & MCP, such as Bookings, Dodo Payments or your CRM.
  4. Tap New bot, pick a WhatsApp template, make the brief sound like you, and keep Answer WhatsApp messages on.
  5. Message your number from another phone and watch the run in the app.
